Global implementation of Workday and Shared Services for Wolters Kluwer

Wolters Kluwer is a global organisation that provides information, software, and services to professionals in healthcare, tax, law and finance. Just ten years ago, 75 percent of the group’s sales were generated from printing activities.

Now it’s less than 12%.

In moving from traditional publisher to online knowledge provider, Wolters Kluwer has undergone a significant transformation in recent years.

The requirement

With the objective support of Change Associates, the Wolters Kluwer board had invested in a new global payroll solutions and Workday as its HR Information System to replace the existing, inflexible systems.

They had also decided to implement shared service centres to support the whole business, using People Doc as the underpinning technology.

They then needed expert help to implement Workday, roll out the Payroll system worldwide, and manage the launch of the shared services centres.

Having built a trusting and successful relationship with the Change Associates consultants on previous projects, they asked us to help.

What we did

Working in London, Amsterdam, New York and in APAC, our consultants supported the Wolters Kluwer across five integrated and interdependent workstreams:

  1. Advisory support on the approach to implementing Workday effectively.
  2. Design and project management of the Workday Recruitment module
  3. Supported implementation planning for the new Payroll systems alongside Workday.
  4. Design of the shared service implementation plan with a particular focus on the EMEA region
  5. Broad advisory support on change management

Our associates redesigned the recruitment processes before creating a project plan for Workday Recruitment implementation that fed into the Programme Management Office.

We managed the interdependencies between Workday and the embryonic shared service centres, and designed training for employees, managers and HR.

Our associates defined the scope of the Shared Services project to ensure it was comprehensive and deliverable, and designed the structure of shared services for EMEA. We designed the shared services business processes, outside of specialist technology, and provided input into the People Doc configuration and specification.

Our consultants project managed the Workday implementation process, including coordinating training and communications with the HR and Finance teams. We provided support to the cutover process. 

The result

  • Workday was delivered on time and within budget.
  • The business is on track to achieve our adoption targets of 80% in month one and 90% by month three.
  • The European Shared Services centre in Europe launched at the same time as Workday implementation, ensuring an integrated approach.
  • The new Payroll system is being rolled out to schedule, and we continue to provide and support for its effective implementation.
