An HRIS business case for DS Smith

Our client

DS Smith is FTSE 250 company and a leading provider of corrugated packaging in Europe and plastic packaging worldwide. The company has a major recycling business that collects used paper and board to make recycled paper used in corrugated packaging. 

With a mission to simplify its customers' supply chains, the company operates across 25 countries. An acquisition strategy had rapidly doubled the size of the employee base to a headcount in excess of 20,000.

Over time a number of different HR processes and systems had developed resulting in HR data that was neither integrated nor reliable.

Newly appointed Director of HR Operations, Joel Le Goffic, began a process to align performance and talent management processes across the businesses. It was during these initial stages Joel recognised DS Smith needed an enhanced HRIS system to support and accelerate the improvements he wanted to introduce, particularly in recruitment, performance management, learning and development and employee records. 

With the design principles of consistency, transparency, sustainability and affordability in mind, Joel asked Change Associates to help scope the requirements for the new HRIS and to recommend a solution.

What we did

Over a three-month period we conducted interviews with representatives from across the business. We spent time with subject matter experts such as each Regional HR Director, the Head of the Shared Services Centre and the Head of Reward to get a clear idea of the success criteria for a new HRIS system.

We worked with an internal steering group to create a framework to help DS Smith understand the issues they faced, consider the options for the future and to make an informed decision about a solution to meet the company's developing needs.

We conducted a independent review of DS Smith's present HR information environment and scoped out the requirements for the future system. The analysis highlighted the gaps a new HRIS and HR processes would need to fill. This information was used to review the HRIS market, considering all the key players against DS Smith's requirements. 

Once the optimum solution had been identified we helped an internal steering group to prepare a compelling business case to present to leadership and to support the recommendation. 

The result
The final report was well received at all levels in DS Smith and provided a solid framework for discussion about the future direction of the company's HRIS. The business case has been used to inform the company's wider review of its HR infrastructure and has placed the needs for reliable HR data at he heart of that process.

The findings of the report will be used to help select the right vendor with the system that will best fit the HR strategy and the wider business strategy.
